Cancellation Policy 

Understanding Your Commitment

​Upon signing up for treatment at Simply Speaking SLT, you are reserving a dedicated time slot in our schedule. This time is exclusively yours, reflecting our commitment to your child’s progress. We maintain a strict cancellation policy to honor the needs of our waitlisted clients and to ensure the continuity and effectiveness of the therapy we provide.

Why We Have a Strict Cancellation Policy

  1. Consistency in Therapy: Regular sessions are crucial for steady progress in therapy. Cancellations can significantly disrupt learning, leading to regression or stagnation in the skills being developed.

  2. Operational Sustainability: As a practice, we face financial implications when sessions are cancelled. Your time slot represents a resource that we are unable to reallocate on short notice, impacting our ability to compensate our dedicated staff fairly and sustain our services.

  3. Fairness to Waitlisted Clients: We often have a significant number of clients waiting for an opportunity to receive therapy. It is unfair to these individuals if a sought-after time slot is not utilized effectively.
     

Notice Periods for Cancellations

We require advance notice for cancellations. The required notice period depends on the reason for cancellation, as outlined below.

  1. Unforeseen Circumstances (e.g., illness)

    • We understand that unforeseen circumstances, such as illness, can arise.

    • If your child is unwell, we require at least 24 hours’ notice to cancel the session without charge.

    • Cancellations made with less than 24 hours’ notice will be charged the full session fee.

    • Forgetting about the session is not considered an unforeseen circumstance and will not be logged as an acceptable reason for cancellation.

  2. Planned Absences (e.g., school events, travel, other appointments)

    • For events that are planned in advance, such as school activities (e.g., cross country), family trips, or other appointments, we require at least 5 working days’ notice.

    • If less than 5 working days' notice is provided, the full session fee will still apply.

  3. Late or No Notification

    • Failure to notify us of your cancellation, or providing extremely late notice, will lead to your session being marked as a ‘did not attend’. In such cases, no alternative session options will be available, and payment for the missed session will still be required.
       

Frequent Cancellations

We aim to provide a stable and consistent therapy schedule for all clients. If cancellations become frequent, we may need to:

  • Extend your required notice period for cancellations.

  • Reassess ongoing therapy and, if cancellations continue to be excessive, place the client back on our waitlist to allow another child access to the time slot and therapy services.
     

Therapist Cancellations

If your therapist needs to cancel a session, you will not be charged, and the cancellation will not be subject to the above policies.
